Part 3 · Using the app
The claim package for your accountant
Turns your people, hours and costs into the spending tables and a credit estimate, then one PDF your accountant can file from.
Open it
- Right-click a project on the board and pick Claim package, or
- open the project panel and go to the Claim tab for a quick look, then Open claim package.
Pick the dates
Fiscal year sets the dates to your last finished fiscal year, from the year end in Account, SR&ED profile. You can also pick any From and To dates. Salaries are prorated to the dates you pick.
What goes in
| Section | Where it comes from |
|---|---|
| Salaries | Automatic. Pay x time on R&D from Account, People, then split across a person's projects by their GitHub research hours. You can change the share. |
| Contractors | People marked contractor are filled in. Add others by hand. 80% of arm's length payments for work in Canada counts. |
| Materials and equipment | Optional. Most software projects leave this empty. |
| Overhead | Proxy method (55% of salaries, no receipts) or actual costs. One choice for the whole company. |
| Grants and funding | Amounts like IRAP. These lower the claim. |
Hours come from Past assessments
Salaries are split by the hours in the Past assessments that fall inside your dates. Link each person to their GitHub author in Account, People so their hours are found.
Recorded time, notes and links
Under the costs, Recorded time and evidence keeps proof that was written down as the work happened. Record time logs hours for one person on one day. Add note and Add link keep explanations, test results and documents with the claim.
- Recorded time replaces the estimate for that person on that day. It is never added on top. Each entry shows the estimate it replaced, for example "estimate was 6 h".
- You can only record time for people on the project: ticked on its Team, or linked to a GitHub author with commits in its repos.
- Every item shows where it came from: Added by a person, or the name of an outside app.
- Remove asks for a reason. The item stops counting but is kept, with who removed it and why. Turn on Show removed to see them, and Restore to count one again.
Daily limit
Recorded time for one person can't go over the company's maximum hours per day (Account, SR&ED profile), counted across every project.
The credit estimate
- CCPCs earn 35% on the first $6M a year, paid out as cash for current spending. Above that, 15%.
- The $6M limit shrinks when last year's taxable capital is between $15M and $75M.
- The limit is for the whole company, so the estimate adds up all projects in the same dates.
- Other corporations earn 15%, which lowers tax owing.
It is an estimate
Specified employees, associated companies and provincial credits need your accountant. The app flags them instead of guessing.
Download the PDF
Download claim package makes one PDF: company details, the summary and estimate, a checklist, each spending table, hours per person, recorded time, notes and links (grouped by where they came from, with removed items listed apart), and the technical work and T661 write-up for each repo.
Turn on List every commit to add each commit (date, author, message) as extra evidence.
